Misc Invoices (A/P)

Misc Invoices (A/P) allows users to post miscellaneous invoices for non-inventory items, create debit accounts, and post them for accounts payable.

Navigate to Expense Management à Misc Invoices (A/P). The Misc Invoices (A/P) page appears with the list of invoice transactions under All Transactions.

The All Transactions list displays the list of posted invoices along with the following details:

Field

Description

Ref.No

The reference number of the invoice.

Supplier

The supplier name posted for the invoice.

Invoice Number

The invoice number provided by the user.

Post Date

The date the invoice was posted.

Invoice Due Date

The due date calculated as per terms selected for the invoice.

Amount

The invoice total.

Total Credits

The total credits amount posted for the invoice.

P.O #

The purchase order number provided by the user.

Remarks

The remarks provided by the user.

Credit Account Code

The credit account code of the invoice.

Credit Account Name

The credit account name of the invoice.

Credit Dept Code

The credit department code of the invoice.

Credit Dept Name

The credit department name of the invoice.

Entered On

The date the transaction was posted (as per the site’s time zone).

Entered By

The username of the user who posted the invoice.

Users can search for a preferred invoice by entering any one of the following parameters:

  • Invoice Number

  • Reference Number

  • Purchase Order Number

Users can view the details of an invoice by selecting the preferred invoice under All Transactions.

The invoice number provided by the user.

Post Date

The date the invoice was posted.

Credit Account

The credit account name of the invoice.

Credit Department

The credit department name of the invoice.

Due Date

The due date calculated as per terms selected for the invoice.

P.O #

The purchase order number provided by the user.

Remarks

The remarks provided by the user.

Total Credits

The total credits amount posted for the invoice.

Grand Total

The invoice total with the site currency symbol.

Debit Account List

Debit Account Code

The chart of accounts code.

Debit Account Name

The chart of accounts description.

Debit Department Code

The debit department code.

Debit Department Name

The debit department name.

Site

The name of the site.

Amount ($)

The corresponding amount for the listed debit transaction.

Remarks

The remarks provided by the user.

Users can filter the debit account list using the following parameters:

  • Debit Account

  • Debit Department

Users can print the invoice using the Print option.

Additionally, users can perform the following functions under All Transactions:

  • Create invoices using the Create New option.

  • Filter invoices using the following parameters:

    • Supplier

    • Post Date

    • Invoice Due Date

    • Credit Account

    • Credit Department

    • Entered By

    • Entered On

  • Shuffle grid columns

  • Resize grid rows

  • Save user preferences
